How we collect, use, and protect your information
Effective Date: April 7, 2026
The USSSA Skills Competition Platform ("Platform," "we," "us," or "our") is operated on behalf of the United States Specialty Sports Association (USSSA). This Privacy Policy describes how we collect, use, disclose, and safeguard your personal information when you visit our website, create an account, register for events, or otherwise interact with the Platform.
By using the Platform, you consent to the data practices described in this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Platform.
We collect information in several ways depending on how you interact with the Platform:
Account Information: When you create an account, we collect your first name, last name, email address, and password (stored in encrypted/hashed form). Directors also provide organization name, phone number, and location.
Player Information: Parents and guardians provide player profiles including the player's first name, last name, date of birth, and sport. This information is used to determine age division eligibility and manage event registrations.
Payment Information: When you register for events, payment is processed through Stripe, a third-party payment processor. We do not store your credit card number, bank account number, or other sensitive payment details on our servers. Stripe's privacy policy governs the handling of your payment data.
Event and Score Data: We collect information related to event registrations, competition entries, scores, and performance results.
Automatically Collected Information: When you access the Platform, we may automatically collect certain technical information such as your IP address, browser type, operating system, referring URLs, and pages visited. This information helps us understand how users interact with the Platform and improve our services.
Cookies: We may use cookies and similar tracking technologies to maintain session information, remember preferences, and improve your experience. You can control cookie settings through your browser preferences.
We use the information we collect for the following purposes:
By creating an account and registering for events, you consent to receiving communications from the Platform and from Event Directors. These communications may include event reminders, schedule changes, score notifications, promotional materials about upcoming events, and administrative notices.
Event Directors may use the contact information you provide (email, phone number) to communicate directly with you about events you have registered for. Directors agree to use this information solely for event-related purposes.
You may opt out of non-essential promotional communications at any time by contacting us. However, you may not opt out of transactional communications related to your account or active registrations.
We do not sell, trade, or rent your personal information to third parties. We may share your information in the following limited circumstances:
Event Directors: When you register for an event, the Event Director for that event may access your name, email, phone number, and player information for the purpose of managing the event and communicating with participants.
Public Leaderboards: Player names, age divisions, event names, and competition scores are displayed on public leaderboards. This is a core function of the Platform and is necessary to operate the skills competition.
Payment Processing: We share necessary transaction information with Stripe to process payments. Stripe acts as an independent data controller for payment data.
Legal Requirements: We may disclose your information if required to do so by law, regulation, legal process, or enforceable governmental request, or to protect the rights, property, or safety of the Platform, our users, or others.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.
The Platform collects limited information about minors (children under 18) as part of the player registration process. This information is provided by the child's parent or legal guardian and includes the player's name, date of birth, and sport.
We do not knowingly collect personal information directly from children. All player accounts are created and managed by a parent or legal guardian. Parents and guardians are responsible for the accuracy of the information they provide about their children.
Parents or guardians may review, update, or request deletion of their child's information at any time by logging into their account or contacting us directly.
If we become aware that we have inadvertently collected personal information from a child without parental consent, we will take steps to delete that information promptly.
We take reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These measures include:
While we strive to protect your personal information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your data.
We retain your personal information for as long as your account is active or as needed to provide you services. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
Score and competition data may be retained indefinitely for historical record-keeping and leaderboard purposes, even after an account is deactivated.
